Nippon Building Fund Inc. (“NBF”), which regards undertaking initiatives to ensure the secure and proper handling of Individual Numbers and other specific personal information as defined in the “Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure” (Act No. 27 of 2013) (“specific personal information, etc.”) as a corporate social responsibility, shall handle specific personal information, etc. appropriately in accordance with the following standards (“the standards”):

1. Compliance with Related Laws, Regulations, Guidelines, etc.

NBF and its directors shall comply with applicable laws, regulations, guidelines and other rules as well as the standards concerning specific personal information, etc.

2. Purposes of Use

The specific personal information, etc. provided to NBF shall be used for the following purposes:

(1) Specific personal information, etc. of transaction counterparties, etc.

Preparing payment records concerning real estate transactions
Preparing payment records concerning trust beneficiary interest transactions
Preparing payment records concerning compensation, fees, signing bonuses and bonuses
Preparing payment records concerning distributions, etc.

(2) Specific personal information, etc. of officers and employees, etc. of NBF

[Taxation]
Preparing withholding certificates, etc.
[Social Insurance]
Filing health insurance and employees’ pension insurance
Filing of national pension category III insured persons

3. Handling Entrustment

NBF entrusts handling of specific personal information, etc. to Nippon Building Fund Management, Ltd. (“the trustee”), Sumitomo Mitsui Trust Bank, Limited and Reiwakaikeisha Tax Corporation (the three companies collectively referred to as “the trustees, etc.”). NBF shall conclude service entrustment agreements respectively with the trustees, etc. in accordance with applicable laws and regulations, etc. concerning the specific personal information, etc. and carry out necessary and appropriate supervision over the trustees, etc. aiming for their implementation of security control measures of the specific personal information, etc.

4. Matters Concerning Security Control Measures

For the prevention of leakage, loss or damage of the specific personal information, etc. and other appropriate management of specific personal information, etc., NBF shall assign its executive director as the person responsible and ensure that the trustees, etc. have an organizational structure and internal rules in place and comply therewith, as well as take security control measures such as physical and technical countermeasures to prevent leakage and other incidents.

5. Contact for Inquiries and Processing of Complaints

NBF shall set up the following contact point for inquiries or complaints at the trustee and appropriately, sincerely and promptly respond concerning its handling of specific personal information, etc.
